Business
General
Provide timely and comprehensive administrative support to the CEO and the Australian office, including telephone coverage, research requests, client support and other tasks/projects as required Assist in the preparation of all correspondence, presentations and reports as required Manage and coordinate diaries including arranging and booking internal/external meetings Liaising with other EA/PA’s in the group mostly in South East Asia with whom the CEO reports into or works with Liaising with the other EA/PA’s with organising teleconference /videoconferences Submitting Gifts and Entertainment claims on group’s online registry on behalf of CEO and office Organising client events on behalf of CEO and sales team Organization and maintenance of client files and databases as required (eg contacts) (as required) Working with GB colleagues to ensure efficient management of the department and liaising with other departments (e.g. IT, Accounts/Finance, HR).
Cost management
Prepare claims for reimbursements of business expenses for CEO and sales team (AMEX, Travel & Expenses) Submit monthly expenses in Peoplesoft for approval well within due dates Approve and sign invoices both physically and on ePro system on behalf of CEO for amounts less than USD5000. Submit invoices for payment in ePro Submit cash receipts for CEO and RMs for reimbursement in Peoplesoft Raise RMS’s as necessary. Work with IT / Tech Procurement teams Submit mobile travel form to Technology Procurement team prior to international travel
Travel itinerary
Arrange all aspects of travel (international & domestic): flights, trains, cars, hotels, visas – through Corporate Traveller, internal systems, CIBT Set-up meetings when travelling
Events
Assist in the preparation and organisation of events (internal and client facing) as required Liaise with regional corporate affairs on relevant campaigns, budgets etc
General Administration
Weekly updating the sales pipeline and distributing it amongst relevant stakeholders Minute taking and agenda distribution at monthly management meeting and other meetings at CEO’s request. Book flight and accommodation for other members of the Australian team Account manage travel companies Monitoring and distributing a weekly travel tracker of incoming visitors to Australia Archiving through recall
People and Talent
New joiners - work with Onboarding Specialist to ensure all technology (computer/phone/etc) have been ordered. Using various systems in coordination with HR, Procurement, IT, Property Terminated employees - ensure all Bank’s items are collected (computer/phone/Amex card). Using various systems in coordination with HR, Procurement, IT, CRES
