Working within a fast paced and dynamic environment, the role holder will be required to provide PA support to the Global Head, Information Security Risk Officer as well as providing support the Global Head of Assurance & Testing. The role holder will be delivering a consistently high level of support and service to benefit the Bank and customers, both externally and internally.

Key Responsibilities

Diary Mgmt

Manage the Global Head’s calendars across local and global stakeholders; coordinating meetings and events Ensure meetings are prioritised, run to time, so that the Manager is able to fulfil meeting commitments, and ensure that adequate time is set aside to complete key deliverables prior to / between meetings. Effective stakeholder management where meetings need to be delayed / postponed Develop working relationships with internal/external stakeholders and their assistants to facilitate scheduling process

Travel & Expenses

Coordinate traveling needs, arranging travel visas, interfacing with travel agent to arrange flight reservations and hotel bookings and ensure pre-approval is obtained for any meals & entertainment expenses where required Prepare claims for reimbursements of business travel and expenses, check invoices from external suppliers in preparation for payment and ordering business cards Act as the teams SME for understanding and ensuring we have governance around adherence to SCB T&E policies Review all the Global Heads MT expenses to ensure they are within policy and can be approved.

Financial and resource management administrative support

Timely and accurate verification and processing of invoices and expense claims. Provide administrative support in ordering on e-procurement, prepare claims for reimbursements of business expenses

Relationship Management

Effective communication with and management of key stakeholders, both internal and external, building trusted and positive relationships to exceed expectations. Effective partnering with other PAs and other support staff in country, region and the broader network, to share knowledge and expertise, and assist with resolving issues

Other processes/activities

Ordering catering if required for internal events/meetings Conductive administrative tasks within SCB PeopleSoft as required Be the point of contact for the team when staff are travelling and visitng the Singapore office – ensuring they have building access and work space etc. Assist in all team functions and events with logistics and bookings Effective communication – sending departmental udpates, writing minutes and monitoring/following up on actions Being able to collate updates in Excel and PowerPoint, including reformatting and spell checking Support the onboarding of new starters: assisting with desk allocation, equipment and phone requirements Act as a contact point for any Business Continuity activities (eg. Fire warden) and ensure contact lists are kept up to date and new tools are implemented effectively

Key Characteristics

Responsive and able to pay meticulous attention to detail (particularly in documents). Ability to demonstrate longer term forward thinking. (Diary mgmt. 2 - 6 months out) Reliable, discrete and diplomatic A flexible approach to work and able to work overtime very occasionally as required given the Global Heads travels internationally. A team player who demonstrates good interpersonal skills with ability to prioritize workload and manage conflicting priorities and deliver in a timely manner. Self-motivated, confident, enthusiastic, proactive and use’s one initiative Work responsibly with sensitive and confidential information Build trust by consistently delivering high quality work Use judgement to make balanced and informed decisions Understand underlying problems and not just immediate task required Demonstrate the ability to think of different ways of working to simplify processes and drive standardisation Comfortable dealing with senior management across different countries and cultures

Our ideal candidate

Must have 10+ years experience working in Financial Services sector. Significant experience with PowerPoint, Word, & Excel. Specifically – Excel – Must be able to do pivot tables and charts, vlookups etc. Powerpoint – Must have high proficiency leveraging and creating structured formats, visual diagrams, process flows etc.
