TheEventsSpecialist -Experience Marketinghelps lead the planning and execution of internal and external events. This role includes responsibility for virtual event coordination, management of internal all-hands/team member meetings, project management, onsite tradeshow and event management, and sales support including presentation development. This role is responsible for delivering quick turnaround in support of internal communications, brand marketing strategies and initiatives, as well as support to external sales and marketing department operations and initiatives.
The Events Specialist is a dynamic communicator who has proven experience in effectively producing and managing online events, as well as creating brand engagement through automated marketing programs, communications, social media platforms, tradeshows, sponsorships, affiliations, and events. At the core, the Events Specialist should be a collaborator and service oriented ? working with our internal teams to gather critical inputs, develop and implement solutions to drive success, and effectively measure and optimize for further improvements.
Job Tasks
Serve as central coordinator and online meeting producer for virtual internal and external events ranging from 3 to 500 attendees for our Meetings & Events team and Corporate Communications team
Support executives in the setup, management, production, and execution of large, company-wide team member virtual meetings
Maintains virtual event calendars in order to plan and organize events, preparation and all related activities.
Manage communications with presenters and hosts to ensure they have the correct equipment (mic, camera) and test internet connectivity, and liaise with management to procure equipment as needed
Schedule and execute rehearsals in advance of live events to ensure all parties are prepared for success
Offer assistance and guidance with any attendee connection issues, as well as basic technical support during an event
Generate and download reports: registrant, attendee, polling responses, and Q&A
Liaise with client, speakers, and co-organizers as needed
Create, customize, and configure virtual event registration pages
Upload content and create custom virtual meeting layouts and event flows
Provide expert knowledge and training to other Meetings & Event staff when needed to support projects, including but not limited to Webex, Teams Live, Cvent
Support the development of materials such as Best Practices, FAQs, and training slides to support meeting hosts, speakers, and event support staff
Provide Marketing operations support, including managing the events budget with the Senior Manager, ensuring adherence to budget, and supporting Marketing Strategy execution.
Support Account Managers and clients in identifying and recommending appropriate platforms and features to use for different types of events, such as meeting, webinar, pre-recorded webinar, conference, training, breakout rooms, whiteboard, Q&A, polls, etc.
Researches and connects with external networks to stay on top of trends and new tools in the virtual event space, bringing those key learnings and recommendations back to Senior Leadership
Work with vendors, manage all elements of event sponsorship and trade show execution, include all pre-show planning including space reservations, drayage, shipping, staffing and booth set-up. This person is also responsible for pre-show prep, sales appointment setting support via preshow communications, and post-show follow up.
Coordinate promotional items and tradeshow giveaways to support marketing and show strategies.
Develop marketing campaigns to drive booth traffic and enhance prospecting efforts for Sales reps in the booth
Maintain tradeshow grid and manage key deliverables and deadlines as part of successful sponsorship and tradeshow execution.
Support successful event execution, including agenda development, speaker management, budget management, vendor management, event registration, sponsorships, content and presentation clean up.
Track metrics to ensure ROE – return on event for all tradeshows and special events

Qualifications
To maximize and support Sales and Account Management efforts, candidate must have a strong proficiency in PowerPoint, including presentation development, template conversions and slide editing and clean up
Develop and coordinate content and copy for articles and marketing campaigns individually and by partnering with communications and content specialists
List management and campaign execution
High-energy individual with the ability to calmly trouble shoot issues accordingly during a live event and control the attendee experience
Ability to remain calm, collected, organized and be a leader in virtual events across several client accounts
Digital marketing skills a plus, including: social media, search engine optimization, and campaign management.
Project Management
Participate in 4-6 large projects, and 5+ small projects at a time, including managing the work of direct reports.
Lead small to medium-sized projects within Marketing department by planning and assigning action items across individuals.
Strong degree of autonomy and creativity expected.

This role will partner with and manage vendors to deliver successful project execution, including design vendors, tradeshow partners, event management companies, external and industry organizations’ tradeshows and events where AMN participates, sponsors, and/ or exhibits.
Education, Certifications & Experience
Minimum Education/Certifications:
Bachelors Degree in marketing, journalism, English or communications
Minimum Experience:
3+ years of marketing experience, including experience managing direct reports
Excellent organization skills and attention to detail required
Strong communication and project management skills required
Tradeshow and onsite event management experience required
Virtual event production experience required
Experience building presentations, meeting agendas and event flows
Preferred Experience
Healthcare or staffing marketing experience preferred but not required.
