Position Summary
We are looking for a highly organized and proactive CEO Office to provide comprehensive support to senior leadership.
This role is responsible for managing calendars, coordinating communications, preparing key documents, and ensuring smooth day-to-day operations.
You will serve as a central point of contact for internal and external stakeholders, maintain efficient administrative systems, and help keep priorities and deadlines on track.
The ideal candidate is detail-oriented, professional, and able to manage sensitive information while handling multiple tasks in a fast-paced environment.
Key Responsibilities
Executive Support
Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements.
Prepare meeting agendas, minutes, presentation materials, and follow-up action items.
Handle confidential information with the highest level of discretion.
Screen and prioritize emails, messages, and requests; respond on behalf of the executive when needed.
Coordinate executive participation in industry events, conferences, or meetings.
Communication & Coordination
Serve as the primary point of contact between the executive and internal/external stakeholders.
Coordinate cross-functional communication to ensure alignment between teams.
Draft correspondence, reports, and documents for executive review.
Operational & Administrative Management
Organize and maintain digital and physical files, ensuring easy access and accuracy.
Support budgeting, expense tracking, and reimbursement processes.
Assist in planning company events, workshops, or meetings.
Manage task tracking and ensure deadlines are met.
Qualifications
Proven experience as an Executive Assistant or in a senior administrative role.
Excellent communication skills (written and verbal).
Strong organizational and time-management abilities.
High level of professionalism, discretion, and integrity.
Proficiency in office productivity tools (Google Workspace, Microsoft Office, project management software).
Ability to work independently and handle multiple priorities simultaneously.
